Privacy Notice: DemocraCity application

This collection notice applies to anyone who applies to users of the ‘DemocraCity’ electoral education game application. This privacy notice explains:

  • what information the AEC will collect about you while using the DemocraCity application
  • how the AEC will use, disclose, store and secure this information; and
  • how you can access and correct this information.

This collection notice should be read in conjunction with the AEC Privacy Policy.

Collection

The AEC will collect and store the following information you provide when using the DemocraCity application. The information we collect will depend on the user.

Teachers

To access the DemocraCity application teachers will be prompted to register with:

  • email address, and
  • password.

Teachers will then have access to an administrative module that allows you to create a session for your students. When creating a session, you can optionally enter the location (state) and electorate your school is in. The session will display a session key for students to access.

Learners

To access the DemocraCity application students will be prompted to enter the following information:

  • session key provided by the teacher, and
  • email address.

Use and disclosure

The DemocraCity application is directly related to enabling the AEC to complete one of its core functions; to promote public awareness of election and ballot matters, and Parliamentary matters by means of the conduct of education and information programs under the Commonwealth Electoral Act 1918 (Cth).

Specifically, personal information collected in the DemocraCity application will be used to:

  • enable teachers to login to the administration module so they can create new sessions and keep track of existing sessions,
  • student email addresses will be used to allow teachers to keep track of student progress in the game/session.

The AEC will only use your personal information, or disclose it to a third party, in very limited circumstances. To maintain and support the DemocraCity application, the AEC may need to disclose personal information to service providers who will be providing support and maintenance for the application. Your personal information may also be used to respond to any queries you make to the AEC, regarding your use of the DemocraCity application.

We will obtain your consent for any specific use or disclosure of your personal information not covered by this collection notice or the AEC Privacy Policy.

Storage and destruction

The AEC will store your personal information to allow the AEC to be able to carry out the functions and purposes outlined above. All information will be securely stored in accordance with the AEC’s security policies and the Australian Government’s Protective Security Policy Framework.

AEC records, including records containing personal information, are created, kept and destroyed in accordance with the Archives Act 1983 and the preservation and destruction provisions in the Commonwealth Electoral Act 1918 (Cth).

When the personal information that we collect is no longer required, and there is no law, or court or tribunal order requiring it to be maintained, or becomes subject to the destruction requirements in the Electoral Act, we delete or destroy it in a secure manner.

Access to and correcting information

Under the Privacy Act 1988 (Cth) you have the right to ask for access to personal information that the AEC holds about you, and ask that personal information be corrected. You can ask for access or correction by contacting the Privacy Officer using the details below. If you ask, the AEC must give you access to your personal information, and take reasonable steps to correct it if the AEC considers it is incorrect.
